What we look after

Six services that can be taken together or one at a time. Each has a scope that is written down before the work starts, and each arrives on the same planner and the same monthly report.

Cleaning

Daily cleaning, periodic deep work and the specialist jobs that come round once or twice a year. The schedule names the area, the frequency and the standard for each, so a cleaner knows what a room needs and a manager can check that it was done. Consumables, bins and washroom stock sit in the same schedule rather than arriving as a surprise. Out-of-hours and term-time patterns are set at the survey and written into the planner.

Planned maintenance

Planned preventive maintenance on the mechanical, electrical and fabric assets a building runs on: boilers and heating, air handling, water systems, lighting, doors and the roof. Each asset carries its own frequency, and every frequency lands on the annual planner with a date and a name against it. The visit records readings and condition rather than a tick, so the report shows how an asset is changing instead of only that someone attended.

Reactive repairs

The things that break between planned visits. A job is raised by phone or by email, given a priority when it is logged, and tracked through assigned, in progress and closed, with the note that closed it. Priorities and the response agreed against each are set in the contract rather than advertised here, because a response time is a promise and it belongs in a signed schedule. Work outside the agreed scope is quoted before it is carried out.

Grounds

Grounds work on the same planner as everything else: grass and edges through the growing season, beds and hedges, leaf clearance, gullies and drainage, hard standing and line marking, gritting and snow clearance through the winter. Trees, gates, fences and play equipment sit on the asset register with their own inspection frequency, because they are the part of a site that is easiest to forget until somebody is hurt by one.

Compliance testing

The routine checks that keep a building evidenced: fire alarm and call points, emergency lighting, extinguishers, fire doors, water temperatures and meter readings, carried out in-house on a round. Work that needs a certified or competent third party, such as gas servicing, lift examinations and electrical condition reporting, is arranged and the certificate is filed against the asset. The frequencies we hold are the ones agreed with you, and the report shows whether each one was met.

Helpdesk

One place to raise a job. A call or an email reaches a person who logs it with a reference, a priority and a location, and that reference stays with the job until it is closed. There is no portal to log into and no ticket you have to chase, because the monthly report lists every job raised, what happened to it and what is still open. Out-of-hours arrangements are agreed in the contract.

Included in the monthly charge where a schedule is in place; otherwise priced per job.
